Privacy Policy

This Privacy Policy explains our commitment to protecting your privacy and ensuring transparency. WhisperTranscript.ai does not sell your data. This policy applies to all products and services provided by WhisperTranscript.ai, including our website, transcription services, file uploads and media file transcription features.

1. Information We Collect and Use

Transcription Content, Retention and Data Security (Summary)

WhisperTranscript.ai respects the confidentiality of your recordings, files and transcripts. We process your content only to provide the services you request, and you control its management and deletion. See Sections 2, 3 and 4 below for details.

Uploaded Content

When you use our transcription services, we process the files and content you upload to provide transcription and related services. Your original uploaded audio or video files are automatically deleted after processing is complete. Transcript text, audio associated with transcription results, and MP3 files extracted or generated during processing are handled separately under the rules in Section 2.

Media File Transcription and Download Data

  • Media File Transcription: When you use this feature, we process your audio or video files to generate transcript text. Transcripts are saved in your account for you to manage and delete (see Section 2). We do not store your browsing activities related to the transcription program.

ChatGPT App Data

When you use the WhisperTranscript.ai ChatGPT app, we may process and return to ChatGPT only the data necessary to provide the transcription experience. This may include transcription job status, file name, media duration, selected transcription language, transcript text, subtitle text, share links, UI language preference, and a limited account entitlement indicator such as hasPremiumAccess.

The hasPremiumAccess indicator is used only to determine whether to show premium features, upgrade prompts, or content limits. It is not a full subscription record and does not include payment status, invoices, or billing identifiers.

We do not return unnecessary account, payment, or internal system data to ChatGPT, including raw subscription status, payment status, invoices, billing identifiers, internal user IDs, access tokens, session identifiers, request headers, storage paths, model confidence scores, telemetry data, log contents, or internal debugging fields.

This data is used only to fulfill user requests inside ChatGPT, such as transcription, subtitle generation, result display, sharing, and entitlement checks. We do not sell this data to third parties.

Website Interaction

We collect data about your browsing activities to improve our services and conduct analysis, including but not limited to:

  • Browser type and operating system
  • IP address
  • Pages visited and time spent
  • Referring websites

Usage Limitations

This service is intended for personal, non-commercial use only. You are responsible for complying with applicable copyright laws.

Our App may contain links to third-party websites / services or you may access the App from a third-party site. We are not responsible for the privacy practices of these third-party sites or services linked to or from our App, including the information or content contained within them.

If you choose to send content to an independent third-party platform through sharing features or third-party integrations, that platform's own terms of service and privacy policy also apply.

We may disclose your personal information if it is needed for objective reasons, due to the public interest or in other unforeseen circumstances:

  • as required by law;
  • when we believe, in good faith, that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request;
  • if we are involved in a merger, acquisition, or sale of all or a portion of our assets, you will be notified via email and/or a prominent notice in our App of any change in ownership or your personal information usage, as well as any choices you may have regarding your personal information.

2. Retention Rules for Transcription Content

Original Uploaded Files

Your original uploaded audio or video files are automatically deleted after processing is complete. This automatic deletion applies specifically to the original files you upload. Transcript text, audio associated with transcription results, and MP3 files extracted or generated during processing are handled separately as described below.

Transcript Text and Other Transcription Audio

You can manage and delete transcript text and other audio associated with transcription results through your account at any time. The default 30-day retention period below does not apply to this content.

MP3 Files Extracted or Generated During Processing

MP3 files extracted or generated during processing are retained for 30 days by default. During this period, you can download or delete these MP3 files through your account. When the retention period expires, any such MP3 files that have not already been deleted are automatically deleted. If you need to keep an MP3 file, download and save your own copy before deleting it or before the retention period expires.

3. Service Use Only; No AI Model Training or Human Review

No AI Model Training

Your recordings, audio files and transcript text are used only to provide the services you request. We do not use this content to train, fine-tune, evaluate or improve our own or third parties' AI models, and we do not permit third-party service providers processing this content on our behalf to use it for those purposes.

No Human Review; Content Remains Private

We do not conduct human review of your recordings or transcripts. Your content is processed automatically only to the extent necessary to provide the services you request. Your files and transcription results remain private within your account. You decide whether to download, export or share this content, including whether to send it through available third-party integrations.

We do not write the contents of recordings, audio files or transcripts to application, diagnostic or analytics logs. Necessary account information, task metadata and technical usage data are handled separately under the other applicable provisions of this Privacy Policy.

4. Data Security

We take the following measures to protect your content:

  • TLS 1.3 encryption in transit: protects data during transmission.
  • AES-256 encryption at rest: protects stored data.
  • Strict access controls and authorization mechanisms: restrict access to service systems and data.
  • Data minimization and purpose limitation: process only the data necessary to provide the services you request.
  • Security monitoring and system protection: help prevent unauthorized access and abuse.
  • User-controlled deletion: allows you to manage and delete saved content.

5. Data Sharing and Access

We access or share your data only under the following circumstances:

  • Service Providers Through trusted third-party providers (such as Firebase, Mixpanel, and Google Analytics) to deliver and enhance our services.
  • Abuse Investigations To investigate and resolve abuse or misuse (as a last resort).
  • Legal Requirements When required by law enforcement or regulatory authorities.
  • Court Orders Applicable to temporary preservation requests with a valid court order.

6. User Management and Permanent Deletion

  • User Management: You can manage and delete saved audio files, transcripts and extracted or generated MP3 files through your account at any time. You can also delete all saved content.
  • Permanent Deletion: Deletion is permanent and cannot be undone. We cannot recover content you delete yourself, nor can we recover MP3 files automatically deleted when their retention period expires.
  • No Backups: We do not provide backup or recovery services for deleted content. If you need to keep recordings, transcripts or other results, download and save your own copies before deleting them. For MP3 files subject to the 30-day retention period, complete your download before that period expires.
  • Account Deletion: You can request complete deletion of your account and associated data at any time.

7. Your Rights

You have the right to:

  • Access Your Personal Information Access and view the personal information we store about you.
  • Request Data Deletion Request the deletion of your personal data stored by us.
  • Export Your Data Request to export your personal data stored in our system.
  • Opt Out of Marketing Communications Choose not to receive our marketing emails or communications.

8. Specific Terms for Media File Transcription

To ensure compliance and transparency for users of media file transcription:

  • Permitted Use: Media file transcription is intended for personal, non-commercial use only.
  • Copyright Responsibility: You are responsible for ensuring that your use of media file transcription complies with all applicable copyright laws and regulations.
  • Prohibited Use: Transcribing other people's copyrighted audio or video without the owner's consent; distributing transcribed content for commercial purposes.
  • Limitation of Liability: WhisperTranscript.ai is not responsible for misuse of media file transcription and reserves the right to suspend access upon discovering any violation.

9. Cookies and Tracking Technologies

We use Cookies and similar tracking technologies to enhance your browsing experience, analyze website usage, and provide personalized content and advertisements. Specifically, we use:

  • Necessary Cookies For essential website functions such as login and shopping cart operations.
  • Performance Cookies To collect data on how you use the website to help us improve website performance and user experience.
